Activities Manager

What it does

The Activities Manager aggregates all of the actions that people and teams are required to complete. These actions or activities may be to approve risk assessments, review controlled documents, read documents or contribute a safety report. The Activities Manager can aggregate activities from existing Notes or Domino applications.
 

Background

Most applications generate emails when people have activities to perform. While these emails are useful their usefulness is reduced by the way in which they overload your inbox.
 
More recent best practice is to collect or aggregate all of these activities into one place so that the individual and the organsiation can see the totality of what is required and can manage it effectively.

Urgent activities may still result in immediate emails but most will be transmitted via a daily newsletter which lists all new and existing activities with individual hyperlinks. Users can also manage their activities via the application itself where they can be ordered and filtered as required.
 
Closing the activities off  in the system provides a clear and auditable history. In many cases the activities can be automatically closed when the related task is completed e.g. the system will detect that a document which was due for review has been issued .

Availability

A Lotus Notes based application is available now and can be purchased out right or rented by the month. We can also supply it as a SAAS ( Software as a Service ) offering. A web based offering is planned.

Ability to manually create additional actions within the Activities Manager
Automated newsletters detailing new activities
Automated newsletters warning of pending and overdue activities
Reporting or Activity status across the whole organisation via automated Excel graphs
