Document Manager

What it does

The Document Manager allows the owners of controlled documents ( SOPs, Standards, Procedures etc.. ) to modify these documents quickly and easily in a controlled and auditable system. The Document Manager can also be integrated with the Skills and Roles Manager and the Activities Manager to ensure that positive confirmation is gathered from  all of the people who are required to read these new or modified documents.
 

Background

 Many manufacturing sites struggle to manage controlled documents - everything from the Health and Safety Policy down to the Standard Operating Procedures ( SOPs ). Much of the difficulty comes from the quite proper need to manage controlled documents in a robust, secure and auditable way. In the past this has meant managing these documents slowly. As a consequence many systems to manage "temporary instructions" have evolved on sites.
 
The Document Manager allows the owners of documents to create and reissue documents quickly, securely and in a fully auditable way. The approval of these documents is policy driven - this means that for each category of document  a set of approval rules can be defined.
 
This combination of ease of use and control means that documents such as SOPs can be reissued much more easily and there is no longer the need to using various "temporary instruction" systems that are hard to track and keep up to date, particularly in shift worker environments.
 
The Document Manager can also be combined with the Skills and Roles Manager and the Activities Manager to advise individual operators that documents specifically relevant to them have been revised and need to be read. As each document is read a positive confirmation is received within the system and can be used to manage by exception.

Availability

A Lotus Notes based application is available now and can be purchased out right or rented by the month. We can also supply it as a SAAS ( Software as a Service ) offering. A web based offering is planned.
