Asset Manager

The Asset Manager application allows organisations to manage the knowledge and processes required to maintain and operate Chemical plants.
The application is compliments typical CMMS systems such as SAP and Maximo by providing a much richer tool for teams to collaborate within.

The first release will be a Lotus Notes based application but subsequent releases will also include a web delivered option. The application can be delivered as an on premises solution or as a SAAS ( Software as a Service ) offering.

The functionality within the system will include :

Criticality assessment
Asset life planning
Maintenance policy development
Asset spend mapping
Failure Investigation and reporting
Management of protective systems ( trips, alarms etc.. )
Management of technical documentation
Action management

Significantly improved retention of corporate knowledge
Significantly improved access to key information for the whole asset management team

One of our existing customers wanted to show three of our modules to an associate so I put together this screen cast as a quick demo. It is 13 minutes long with the first 4 minutes being slides but hopefully it will give you some idea of what some of the modules in the FoCul Delivery Toolkit can do.

The three modules described are :

The Skills and Roles Manager :

This module manages historical Skills ( training ) records, Roles and automatically identifies future training needs based on the role and skills already held by an individual. The system can also integrate with the Document Manager and the Activities Manager to track which people have signed off as having "read and understood" new procedures based on the roles that they hold.

The Document Manager :

The Document Manager allows the whole life cycle of controlled documents to be managed efficiently, securely and robustly

The Activities Manager :

The Activities manager gathers together all of a persons formal actions and tasks into one place where they can be managed and reported on. The module will work with other Delivery Toolkit modules or with existing business applications.

Each module can be used in isolation or with other parts of the Delivery Toolkit. Modules currently available but not shown here include a HSE reporting module, an invoice approval module and an Indents / Purchase requisitions module.

Purchase Requisition Manager

A fully electronic and secure Indent or Requisition system with financial authority limits set at cost centre level. The system will significantly improve control of your purchasing process and provide real time spend maps by cost centre, supplier and spend type

The Purchase Requisition Manager :

Allows authorised people to raise purchase requisitions.

Routes these requisitions for approval using cost centre based authority limits.

Allows the Purchasing team to convert these requisitions to Purchase Orders.

Provides real time spendmap data by cost centre, supplier and spend type.

Activities Manager

The Activities Manager integrates with other applications to pull all of a persons activities into one place so that they and their managers can manage those activities effectively. It both eliminates the frustration of inboxes filled with actions and at the same time allows organisations and individuals to manage their activities more efficiently

As an example the Activities Manager will show which controlled documents you need to revise, approve and Read. The system allows each person to give positive acknowledgement that they have read and understood each document - ideal for organisations with Standard Operating Procedures

Activities can be entered directly into the system or they can be automatically imported from other systems such as the Document Manager or the Skills and Roles Manager. The system can also be integrated into other electronic processes within your organisation.

Skills and Roles Manager

The Skills and Roles Manager not only acts as a skills ( training ) records system but also automatically highlights the gaps between the skills required by a persons role and the skills that they hold. It is ideal for organisations such as chemical manufacturers where peoples ability to perform in a role is tightly aligned with their skills ( training ).

Skills ( Training ) Records

The system contains a document for each skill record associated with a person. This Skill Record can be a historical record or it can be a "Future Skill Record" representing a skill which is required. The clip below shows how easy it is for a supervisor to quickly record a new series of Skill Records.

Role Records

The system contains a Role Definition Record for each key role. This Role Definition Record defines which Skills an individual needs and which controlled documents an individual show be familiar with.

Because the system already has all of the skill records for an individual it is able to highlight the "gap" between what a person has and what they should have. A future skill record is automatically created for each skill required.

Integration with the Document Manager and the Activities Manager

When these three applications are integrated a very powerful system is created. The Roles system identifies what skills and documents are required. As skills expire or new revisions of controlled documents are added the Activities Manager creates person specific activities for people to acquire the new skills or to familiarise themselves with the newly issued documents.

The combined system can also require individuals to positively confirm that they have read and understood the newly issued documents

Document Manager

A fully featured Document Management system that allows controlled documents to be managed from draft status through approval and then re-issue.

The key features of the system are :

This system significantly simplifies the process of controlling document control and makes it easy to delegate ownership for documents through the organisation.
Multi-tiered approval processes can be configured by document category
Document visibility can be controlled by document category
The system can be integrated with the Skills and Roles Manager application and the Activities Manager application to provide person specific newsletters and reporting metrics on document awareness
